Student Pass Renewal Checklist

A. Required by EVERYONE

i – Passport CopyAll pages, must have more than 18 months validity and more than 7 blank pages.

ii – Passport Photos (2 pictures)White background, dark attire clothes.

iii – Student Verification LetterRequest letter from your Faculty.

iv – Course Registration SlipProof you are registered for the current semester at MyUTM Portal

v – Examination ResultYour latest results from the current visa period at MyUTM Portal

vi – Admin Fee (RM30)Pay online at payhub.utm.my and email the receipt.

vii – EMGS Visa FeePay only after you receive the invoice via email.


B. Extra Documents (Based on Your Student Category)

i – For Research/PhD Students:

  • Attendance Report Letter (with ‘Satisfactory’ status) – Request letter from your Faculty.
  • Supervisor Recommendation Letter
  • Latest Progress Report – Download at MyUTM Portal
  • Summary of Student Status – Request letter from your Faculty.

ii – For Taught Course Students:

Attendance Report Letter (must show more than 80% attendance) – Request letter from your Faculty.

iii – For Students Deferring Studies:

Deferment Letter plus other specific documents (please check the original list for complete details).


C. Important Reminders and Timeline

IMPORTANT NOTES:

  • Submit Early – Apply more than 1.5 months BEFORE your pass expires to avoid special pass fees.

  • Processing Time – Takes a minimum of 2 months for completion.

  • Travel Restriction – Do not make any travel plans until your new pass is fully approved.

  • Late Submission – Applications submitted less than 1.5 months before expiry will require a Special Pass costing RM154.
